1. The service
Peppercorn.rental is a subscription tool for freeholders and residents' management companies to record leasehold properties, leaseholder details, ground rent and service charge accounts, payments, consent applications, and to generate statutory rent demand notices.
2. Your subscription
Free trial
New accounts get a 14-day free trial. No card is required to start a trial. We may ask for billing details before the trial ends if you want to continue.
Billing
Plans are billed monthly or annually in advance, based on the number of properties on your account. You can change plans at any time from your account settings; changes take effect at your next billing date.
Cancelling
You can cancel at any time from your account settings. Your subscription runs until the end of the period you've already paid for. We don't give refunds for partial periods.
Plan limits
Each plan has a maximum number of properties you can manage. If you go over your limit, we'll ask you to upgrade before adding more properties. Current limits are shown on our pricing page.
3. Acceptable use
You agree to:
- use the service only for lawful property management purposes;
- keep your login details secure and not share your account;
- not attempt to break, overload, or reverse-engineer the service;
- not use the service to store or send unlawful, abusive, or fraudulent content.
We can suspend or close accounts that break these rules, with notice where reasonably possible.
4. Statutory demand notices
The service can generate rent demand notices in the format required by the Landlord and Tenant (Notice of Rent) (England) Regulations 2004. This is a convenience feature.
You are responsible for:
- checking that the notices generated are accurate, complete, and lawful before sending them;
- serving demands validly under your lease and the applicable law;
- the accuracy of the property, leaseholder, and charge data you enter into the service.
We don't provide legal advice, and using the service doesn't replace your own legal judgement or professional advice about whether a demand is valid or enforceable.
5. Data accuracy and your responsibilities
You're responsible for the accuracy of the data you enter, including leaseholder details, charges, and payment records. We don't check or verify this data on your behalf.
6. Availability
We aim to keep the service available and will use reasonable efforts to fix problems promptly, but we don't offer a service level agreement (SLA) or guarantee uninterrupted access. We may carry out planned maintenance from time to time.
7. Limitation of liability
Nothing in these terms limits liability for death or personal injury caused by negligence, or for fraud, or anything else that can't lawfully be limited.
Subject to that, our total liability to you arising out of or in connection with these terms or the service, whether in contract, tort, or otherwise, is capped at the total fees you paid us in the 12 months before the event giving rise to the claim.
We're not liable for indirect or consequential losses, including lost profits, lost rent, or the consequences of an invalid demand notice, to the extent the law allows us to exclude this.
This is a general-purpose administrative tool priced accordingly; the limits in this section reflect that.
8. Data export and deletion
While your account is active, you can export your property, leaseholder, and charge data at any time from your account settings.
If you cancel or your account is closed, we'll keep your data for 30 days in case you want to reactivate or export it, then delete it permanently, except where we're required to keep records for legal or accounting reasons.
9. Data protection
Our data processing agreement (see dpa.md) is incorporated into these terms by
reference and applies to any personal data you ask us to process on your behalf.
10. Changes to these terms
We may update these terms from time to time. We'll tell you about material changes by email or in the app before they take effect.
11. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute.
